Privacy policy

This policy explains how Easeful Operations (“I”, “me”) collects and uses your personal data when you use easefuloperations.com and the services it leads to. EASEFUL Operations LTD (trading as Easeful Operations) is the data controller. We are registered in England and Wales, company number 16614856, at 86-90 Paul Street, London, EC2A 4NE. If we work together, your project data is handled through a client portal, which has its own privacy notice covering that work in more detail.
What I collect
- Scorecard submissions. Your answers to the Easeful Scorecard, the computed result, and, if you choose to receive the report, your email address.
- The Ops Room registrations. Your name, email, the session you select, and any question you choose to submit.
- Enquiries and bookings. Anything you send me directly, and details you provide when booking a call.
- Calls, recordings and transcripts. If we get on a call and you agree, I record it and keep a written transcript and summary, so I have an accurate record of what we discussed.
- Project data. If you become a client, the work runs through a client portal: your discovery answers, tasks, comments, files you upload, and invoice and payment records.
- Analytics. Aggregate, cookieless usage data (see the cookie notice). This does not identify you.
How I use it
- To generate and send your scorecard report.
- To confirm and remind you about Ops Room sessions.
- To respond to enquiries and deliver work you engage me for.
- To document our calls, run projects through the client portal, and raise invoices.
- To understand, in aggregate, how the site is used and improve it.
I do not sell your data, and I do not use it for advertising. I will only email you about something you asked for, or work we have discussed.
Legal basis
Where UK GDPR applies, I rely on your consent (for example, to email your scorecard report, or to record a call), the performance of a contract (delivering work you engage me for and running the client portal), my legitimate interests (responding to enquiries and running the site securely), and legal obligation (keeping financial records for six years).
Who processes your data
I use a small number of trusted providers to run the site and its services:
- Supabase: database storage for scorecard submissions, Ops Room registrations and the contact list.
- Resend: sending transactional email (your report, confirmations and reminders).
- Cal.com: scheduling, when you book a call.
- Railway and Cloudflare: hosting and content delivery.
- Umami: cookieless, self-hosted analytics.
- AI notetaker: for The Ops Room only, I use an AI notetaker to capture common questions. This is disclosed on the Ops Room page and in your confirmation email. Notes are used to create content, never with your name or business attached.
- Anthropic (Claude): drafting summaries, proposals and replies for client work. Claude only ever produces a draft that I review and approve, and it never sends, posts, pays or deletes anything. No automated decision is made about you.
- Fireflies.ai: recording and transcribing calls, with your consent.
- Stripe: processing payments.
- Xero: accounting and invoicing.
International transfers
Some providers are based outside the UK, including in the US. Where data is transferred internationally, it is protected by appropriate safeguards such as standard contractual clauses.
How long I keep it
I keep data only as long as needed for the purpose it was collected, or as required by law. Scorecard submissions are retained to enable your report to remain accessible and, in anonymised form, to improve the scorecard. For client work, I keep call recordings and transcripts for twelve months, most project and email records for around two years, and invoices and payment records for six years as the law requires. The client-portal privacy notice sets out the full retention periods. You can ask me to delete your data at any time.
Your rights
You have the right to access, correct, delete, or restrict the processing of your personal data, and to object to processing or request portability. To exercise any of these, email chelsea@easefuloperations.com. If you are in the UK, you may also complain to the Information Commissioner’s Office.
Changes
I may update this policy from time to time. The date at the top shows when it last changed.
